What is a quotation?

A quotation (or price quote) tells a customer what a job or product will cost before they agree to buy. Unlike an invoice, it is not a request for payment, and it is usually valid for a limited time.

What to include on a quotation

  • Your business details and logo, and the customer's details.
  • A quotation number, the date and a valid-until date.
  • Each item or service with quantity, unit and price.
  • Discount, VAT and the total, plus any payment or delivery terms.

From quotation to invoice in one click

With a free account, every quotation is saved in your history. When the customer accepts, click Convert to invoice and the same customer and items are copied into a new invoice.

How to write a quotation that gets accepted

  • Describe the scope exactly: what is included, and what is not (“paint and materials included, scaffolding not included”).
  • Say whether prices include VAT. To businesses in the UAE, Saudi Arabia, Bahrain or Oman, write for example “prices exclude 5% VAT”.
  • Set a validity of 15 to 30 days, so old prices cannot be claimed months later.
  • Add the payment schedule: for example 50% on acceptance and 50% on completion.
  • Keep it to one page where you can, with a clear total the customer can approve quickly.

Example

A painting job in Kuwait: 3 rooms × 85.000 KWD = 255.000 KWD, materials 60.500 KWD, total 315.500 KWD, valid 15 days, 50% advance. The customer sees exactly what they pay and until when the price holds. More tips in how to write a professional quotation.

Quotation, estimate or proforma?

A quotation is a fixed price for the described work. An estimate (the usual word in the US) is an approximate price that can change. A proforma invoice is used when the buyer needs an invoice-like document before paying, for example for a bank or for customs; use the proforma invoice generator for that.
